Flow State Freediving Retreats | Terms and Conditions of payments and bookings
Last edit: 1 Nov 2026 ·
These terms apply to every retreat or trip you book with Flow State Freediving. Please read them before you pay your deposit.
1. Who we are and how your booking works
1.1 Who we are. "We", "us" and "Flow State Freediving" mean Imogen Hunter and Joe Laurie, trading as Flow State Freediving (email: immy@flowstatefreediving.co.uk, phone: +447888807977). "You" means the person making the booking.
1.2 Definitions. The "Retreat" is the freediving retreat, with the dates and location shown on the booking page. The "Information Pack" is the guide we send you after booking. The "Booking Confirmation" is the email we send once we receive your deposit.
1.3 When the contract starts. A contract between you and us is formed when we send your Booking Confirmation. Until then you can correct any mistakes in your booking by emailing us.
1.4 Who can book. You must be 18 or over. If you book for other people, you confirm you have their permission, you have given them these terms, and you are responsible for their payments. Each traveller must sign the retreat agreement and complete the medical questionnaire we send them.
1.5 Other documents. The Information Pack and the retreat agreement you sign before you travel form part of your contract. If they conflict with these terms on payment, cancellation or our liability, these terms apply.
2. No partial refunds
2.1 Fixed package. The price is for the whole retreat as described on the retreat page. We do not give partial refunds if you miss a session, skip an activity or choose not to take part, unless this is because of something we did or failed to do.
3. Price and payment plan
3.1 Price. The price of the Retreat is shown in pounds sterling on the booking page and in your Booking Confirmation.
3.2 How you pay. You pay in three stages:
Deposit: £500 | When you book, to secure your place
Second instalment: 50% of the remaining balance | 1 month after your deposit
Third instalment (final): 50% of the remaining balance | 1 month after your deposit
1 month after your second instalment, and no later than 2 months before the Retreat start date
3.3 Late bookings. If you book less than 2 months before the Retreat start date, you pay the full price when you book [or: the £500 deposit when you book and the full balance within 7 days].
3.4 Your commitment. The payment plan is a way of spreading the cost. It is not a loan or credit and we charge no interest. By booking, you commit to paying the full price. Instalments are not optional.
3.5 Deposit. Your place is only confirmed once we have received your deposit. The deposit is non-refundable except where we cancel or make a major change (section 5), where unavoidable and extraordinary circumstances apply (section 7), or where you transfer your booking (section 4.5). It reflects the cost of holding your place, our administration, and the commitments we make to accommodation, instructors and local partners.
3.6 Paying us. We accept payment by bank transfer or through Squarespace. We do not add a surcharge for paying by card. You must make sure we receive the full amount. Any bank, transfer or currency conversion fees charged by your own bank are for you to pay.
3.7 Missed payments. If a payment is late, we will contact you. If we have not received it within 7 days of our reminder, we can treat this as you cancelling under section 4, apply the cancellation charges in section 4.3, and offer your place to someone else. Any money you have paid above those charges will be refunded.
3.8 Price changes. Once you have booked, we can only increase the price to cover increases in transport costs (such as fuel), taxes or fees we do not control, or exchange rates, and only where the increase is directly caused by that. We will tell you on a durable medium (such as email) at least 20 days before the start date. If the increase is more than 8% of the price, you can accept it or cancel under section 5.2. If these costs fall, we will pass on the reduction.
4. If you cancel or want to make changes
4.1 How to cancel. Email us at immy@flowstatefreediving.co.uk. Your cancellation takes effect on the day we receive it.
4.2 No cooling-off period. Because the Retreat is for specific dates, the 14-day cooling-off right that applies to many online purchases does not apply. Your right to cancel is set out in this section.
4.3 Cancellation charges. You can cancel at any time before the Retreat starts, but you must pay a termination fee based on how long before the start date we receive your cancellation. These charges are a fair estimate of the costs we cannot recover:
When we receive your cancellation & what you pay
More than 4 months before the start date | You pay your £500 deposit only. Anything else you have paid is refunded.
4 months or less before the start date | Your deposit, plus enough to make up two thirds (66%) of the total price.
2 months or less before the start date | 100% of the total price.
4.4 If we resell your place. If we fill your place with someone else who pays the full price, we will refund what you paid beyond the deposit, less any costs we have actually incurred in doing so. We will try to resell a cancelled place, but we do not have to.
4.5 Transferring your booking. You can transfer your booking to another person who meets the requirements if you give us notice on a durable medium at least 30 days before the start date. The new person and you are both responsible for paying the balance and a transfer administration fee of £150.
4.6 Changing dates. If you want to move to a different Retreat, we will try to help, but it depends on availability. Unless we agree to move your booking in writing, it counts as a cancellation under section 4.3.
4.7 Insurance. Cancellation charges may be covered by your travel insurance, for example if you are ill. We strongly recommend you check this before booking.
4.8 Refunds. Any refund will be paid within 14 days of your cancellation, to the method you used to pay where possible.
5. If we change or cancel the Retreat
5.1 Minor changes. We may change things that do not affect the main features of the package, such as the order of activities, dive sites, instructors, meal venues or accommodation of a similar standard. We will tell you as soon as we can. Minor changes do not entitle you to a refund or compensation.
5.2 Significant changes. If, before the Retreat starts, we have to change a main feature of the package in a significant way, or cannot meet a special requirement you have agreed with us, or need to increase the price by more than 8%, we will tell you on a durable medium as soon as possible. You can then:
accept the change;
accept a replacement package of equivalent or higher quality, or a cheaper one with a refund of the difference; or
cancel and receive a full refund of everything you have paid within 14 days, with no termination fee.
We will give you a reasonable deadline to choose (usually 7 days). If you do not respond by then, we will treat you as accepting the change, as we will explain to you at the time.
5.3 If we cancel. We can cancel the Retreat if:
fewer than the minimum viable number of people for that trip have booked, and we tell you at least 30 days before the start date; or
we cannot run it because of unavoidable and extraordinary circumstances (see section 7), and we tell you without undue delay before the start date.
If we cancel, you will receive a full refund of everything you have paid within 14 days.
5.4 If something goes wrong during the Retreat. Please tell us straight away so we can put it right. If a significant part of the package is not provided as agreed, we will make suitable alternative arrangements at no extra cost to you where we can. If that is not possible, or you reasonably refuse because they are not comparable, you may be entitled to a price reduction or compensation. You are not entitled to either where the problem is caused by you, by a third party unconnected with the package, or by unavoidable and extraordinary circumstances.
6. Insurance and travel documents
6.1 Travel insurance. You must have valid travel insurance for the whole trip. It should cover medical bills, personal injury, repatriation, and cancellation or delay. We will not pay for or advance medical bills or other costs if you are injured or ill. Arranging suitable travel insurance is your responsibility.
6.2 Passport, visa and entry. You are responsible for having a valid passport, any visa you need, and any other documents required to enter the country you are travelling to and to travel home. Please check the latest Foreign, Commonwealth & Development Office travel advice for your destination at gov.uk/foreign-travel-advice before booking and again before you travel. If you are refused entry or cannot travel because your documents are not in order, we cannot refund you.
7. Unavoidable and extraordinary circumstances
7.1 What this means. These are situations beyond anyone's control, whose effects could not have been avoided even if all reasonable steps had been taken. Examples include war, serious security problems, terrorism, natural disasters, major health risks such as a serious outbreak, and travel being made unsafe or impossible, for example by closed borders or airspace or by official advice against travel to the area. Ordinary changes in sea or weather conditions that affect a dive session or other activity are also outside our control, and no refund is due if an activity cannot run for that reason.
7.2 If this happens at or near the destination. If unavoidable and extraordinary circumstances at or near the destination significantly affect the Retreat or travel to it, you can cancel before the Retreat starts without paying a termination fee, and we will refund everything you have paid within 14 days.
7.3 If this stops us running the Retreat. If we cannot run the Retreat because of these circumstances, we may cancel or change it. We will tell you without undue delay and refund everything you have paid within 14 days if we cancel. We are not required to pay extra compensation in these circumstances.
7.4 If you are affected personally. Illness, injury, a family emergency, a missed flight or a travel delay that affects only you is not an unavoidable and extraordinary circumstance at the destination. Section 4 applies, and your travel insurance may help.
7.5 Help if you are in difficulty. If you are in difficulty during the Retreat, we will give you appropriate help promptly, including information on health services and consular assistance, and help with alternative travel arrangements.
